    What the External Meeting Booker role means

    External Meeting Booker is a role for people who book meetings on behalf of someone else: an assistant, sales support or an external booking partner. The booker is allowed to book in the organisation's name without gaining access to the whole account, and every booking shows who made it.

    The organisation invites the booker by email and then shares exactly the meeting calendars the role may use. The same person can be a booker in several organisations at once, with separate permissions and a dedicated sender identity per organisation.

    Booking happens in a guided wizard: pick the meeting owner, pick a slot that is free according to the owner's connected calendar and add participants. The meeting is created for the owner, everyone receives a calendar invitation, and a video link is created when Teams or Meet is connected. The booker can also reschedule and cancel.

    The role belongs to the meeting booker module and requires a plan where the feature is enabled — see the pricing page for the current tier. Follow-up on booked meetings can be extended with meeting evaluations.

    Frequently asked questions about meeting bookers

    Does the booker see our entire calendar?
    No. The booker only sees the meeting calendars that have been shared and the free slots they produce. The contents of private calendar events are not shown.
    Can the same person book for several organisations?
    Yes. A booker can belong to several organisations and switch between them. Permissions and shared calendars are kept separate per organisation.
    Who appears as the sender in emails?
    A booker can have a dedicated email identity per organisation, so the recipient sees the correct sender for the organisation the booking concerns.
    Who owns the meeting that is booked?
    The meeting owner is the person the meeting is booked for. The meeting is created in the owner's calendar, while the booker is recorded as the person who made the booking.
    Can the booker cancel or reschedule?
    Yes. Rescheduling and cancelling work exactly as for a normal booking, and every participant receives an updated or cancelled calendar invitation.
    Does the external participant need an account?
    No. Participants receive an ordinary calendar invitation by email and need no MeetSync® account.
