    Round Robin

    Included in Pro

Share a single booking link – e.g. "Book a demo with MeetSync®" – and let MeetSync® automatically distribute incoming bookings across several users. Times are shown when at least one is free, and each booking is assigned by a rule you choose.

    • Fair turn-taking: booking 1 → Anna, 2 → Erik, 3 → Sara, then it starts over.
    • Weighted distribution: e.g. Anna 50 %, Erik 25 %, Sara 25 %.
    • Only times when someone is free are shown to the external booker.

Example: The customer books via a shared link "Book a demo with MeetSync®". MeetSync® checks which users are free and automatically selects the next person according to the rule.

What a meeting calendar in MeetSync® is

A meeting calendar is the bookable surface you publish to the outside world. You decide which weekdays and hours are bookable, how long a meeting is, how far ahead people can book and which time zone the slots are shown in. The person booking opens the link, sees the open slots and confirms — without a MeetSync® account.

The slots are based on real calendars. Each participant connects a calendar in Google, Microsoft 365 or Apple iCloud (CalDAV), then chooses which calendars are read for busy time and which calendar new bookings are written to. Busy time is hidden automatically, and when several people share the calendar, only slots that suit every required participant are offered.

Once a booking is made, the meeting is created in the selected default calendar, everyone receives a calendar invitation, and a Teams or Meet link is added when that provider is connected. In-person meetings can carry a street address in the location field instead. Cancelling or rescheduling updates the same meeting for all parties.

A meeting calendar can go further: a custom booking form with extra fields, a multilingual booking page, your own logo and colours, and embedding on your own website. Which of these are available depends on the organisation's plan — see the pricing page for the current tiers.

Frequently asked questions about the meeting calendar

Does the person booking need a MeetSync® account?
No. The booking link is public and the external guest simply fills in the form and confirms a slot. An account is only needed by the person who creates and owns the calendar.
    Which calendars can I connect?
Google Calendar and Google Workspace, Microsoft 365 and Outlook, and Apple iCloud Calendar via CalDAV. You can connect several calendars and choose which ones count as busy.
    How are time zones handled?
The booking page shows slots in the visitor's time zone, while the calendar itself works in the time zone you set for it. Confirmations and calendar invitations show the correct local time for each participant.
Can several people share one meeting calendar?
Yes. A meeting calendar can include several participants with different roles, such as owner and participant, and availability is then calculated from everyone's connected calendars.
Is a video meeting created automatically?
Yes, when a provider is connected. A Microsoft Teams link is created through the Microsoft 365 connection and Google Meet through the Google connection. Without a connection the meeting is booked without a video link.
What happens if a slot gets taken in my own calendar?
The slot disappears from the booking page, because availability is read from your connected calendars. Existing bookings are unaffected, but double booking is prevented.
