A group poll that books the meeting for you
When lots of people need to find a time, a single booking link isn't enough. Send a meeting request with several proposed times — attendees respond and the meeting is confirmed automatically.
What a group poll does that a booking link cannot
A booking link works when one person books time with another. When five people from two organisations need to meet, someone has to weigh all the calendars together. A group poll flips the flow: you propose a set of times and the participants mark the ones that work.
In MeetSync® the availability of internal participants is read from their connected calendars, so the proposals are based on real gaps from the start. External participants answer through a link in the email without creating an account, and you watch the responses update in real time.
Once enough answers are in, the earliest time that works for all required participants is confirmed automatically. The calendar invitation goes out, any video link is created and the remaining proposals are released – with no manual tallying.
What sets it apart
Internal responses pulled from the calendar
Colleagues' availability can be calculated automatically, so only external attendees need to respond.
External attendees respond without an account
Attendees outside the organisation respond via a link in the email.
Automatic confirmation
Once all the necessary responses are in, the earliest shared time is booked and invites are sent.
Provisional slots
Proposed times can be held as placeholders in the calendar until the meeting is confirmed.
How it works
- 1
Choose attendees
Add colleagues, groups and external email addresses.
- 2
Propose times
The system suggests times when internal attendees are free; adjust freely.
- 3
Let the responses decide
Attendees respond, you see the status in real time, and the meeting is confirmed once it lines up.
When a group poll is the right tool
Meetings across organisations
Procurement meetings, steering groups and supplier reviews where participants sit in different systems and nobody can see the others’ calendars.
Internal meetings with many attendees
When the whole project group is needed, colleagues’ availability is calculated automatically, so only those without a connected calendar have to answer.
Meetings with optional attendees
Mark who is required and who is optional. The meeting can be confirmed as soon as the required people can attend, even if an optional participant is busy.
Frequently asked questions
- What happens if no time works for everyone?
- You can add new proposals or confirm a time manually with those who can make it.
- Can attendees suggest a different time?
- Yes. A suggested new time is picked up and can be accepted, after which the invite is updated.
- Are reminders sent?
- Yes. Attendees who haven't responded can be reminded automatically.
- Can a participant propose a different time?
- Yes. A participant can suggest another time, and when you accept it the meeting is rebooked and an updated calendar invitation is sent to everyone.
- Are the proposed slots blocked while the poll is running?
- Proposed times can be held as tentative placeholders in the calendar, so a colleague does not book over a slot that is about to be confirmed.
- Which language is the request sent in?
- You choose the language when you create the meeting request and can change it while the poll is open. Emails and the calendar invitation follow that choice.
