    Automatic reminders before the meeting

    Why automatic reminders cut the number of no-shows

    Most no-shows are not about lack of interest. The meeting was booked long ago and then forgotten. A reminder that arrives at the right moment – the day before and shortly before the start – is the difference between a meeting that happens and an empty slot.

    MeetSync® sends the reminders for you. You set up to three per meeting, with timings from five minutes up to 48 hours before the start, and the same settings can be used for booking calendars and for meeting requests.

    The reminder reaches every participant, including external guests who booked through a link without an account, and contains the time, the duration and any video link. If the meeting is rescheduled, the timings are recalculated against the new start so nothing is sent for a time that no longer applies.

    A reminder 24 hours ahead gives the other party time to reschedule instead of dropping out, and one 10 minutes before gets people to join on time.

    Candidates often book far in advance. Two reminders – 48 hours and one hour before – reduce late cancellations and empty slots in the schedule.

    Online meetings with many attendees

    A reminder just before the start with the video link means the meeting can begin on time instead of opening with people waiting.

    Can attendees unsubscribe?
    Messages from MeetSync® include information on how to unsubscribe from non-essential mailings.
    Are reminders sent when a meeting is rescheduled?
    Yes. The timings are recalculated based on the new meeting time.
    Which time zone is used in the reminder?
    The time is shown in the recipient’s time zone when it is known, otherwise in the meeting’s time zone. The zone is stated in the message so it cannot be misread.
    Are reminders still sent for cancelled meetings?
    No. If the meeting is cancelled, upcoming reminders are stopped and participants receive a cancellation notice instead.
    Can I see that a reminder was delivered?
    Yes. Sends are logged per meeting and participant, so you can check what went out and when if someone says they never received a reminder.
