    When it makes sense to look at an alternative

    Microsoft Bookings is built for organisations that work entirely inside Microsoft 365. As long as everyone involved is licensed and the calendars live in the same tenant it does the job. The need for an alternative usually appears when reality looks different.

    Typical situations: part of the team uses Google Calendar, consultants and partners sit outside the organisation, or a meeting has to be booked between several parties who cannot see each other’s calendars. That calls for a tool that combines availability across system boundaries.

      Swap the links in signatures and on your website. A Teams link is created automatically once Microsoft is connected.

    Things to consider when switching

    Keep Microsoft 365 as the calendar

    Changing booking tool does not mean changing calendar. Outlook stays the source of truth; MeetSync® reads availability and writes the bookings back.

    Plan for administrator approval

    If the organisation has a restricted consent policy, IT approves the app once before users can connect their accounts.

    Move the links in stages

    Create matching booking calendars in MeetSync®, swap the links in signatures and on the website, and leave the old pages up until no bookings arrive there.

    Does everyone need Microsoft 365?
    No. Attendees can use Google, Apple or no connected calendar at all.
    Can I keep using Teams for meetings?
    Yes. A Teams link can be created automatically for booked meetings once Microsoft 365 is connected.
    Where is the data stored?
    MeetSync® is operated by MeetSync AB and processes personal data in accordance with GDPR. Sub-processors are listed on the Subprocessors page.
    Can we run both tools in parallel during a transition?
    Yes. Both read the same Outlook calendar, so a booking made in one tool blocks the time in the other and double bookings are avoided.
    Do external participants need a licence?
    No. Anyone who books or answers a meeting request needs neither licence nor account – just the link in the email.
